Invitation to PotoFanm+Fi's Planning Process

Dear PotoFanm+Fi Friends –

This June PotoFanm+Fi is planning it’s future and we want you to participate! We’ve accomplished a lot with a relatively ad-hoc structure and short-time horizon - But the needs in Haiti are great and we can respond more effectively and involve more people if we clarify our structure and think ahead.

To accomplish this we’re inviting you to respond to a survey, review the survey findings when they are ready and attend several facilitated conference calls- the time-line for this is below.

The goal is to go into July with agreement in these two areas:

1. Operational – the shape of PotoFanm including structure, decision-making, possible concentric circles of participation, communications and means of orienting new members




2. Program / activities – project ideas to prioritize and a calendar of key activities till the end of January 2011 with an eye to maximizing collaboration, synergy, outreach and impact

Again – the suggested time-frame under consideration is the next seven months - till the end of January 2011. Of course during that period we can review and update our plans and consider joint activities beyond January.

--Friday, May 28 – invitation and explanation of process sent out

--Survey goes out by May 30th

--Weds, June 9th 12 pm ET – Regular Poto Conference call – at the top of the agenda we will discuss questions or comments you have about the survey or planning process.

--Friday, June 11 – deadline to submit survey including brief proposal ideas

--Sunday, June 13 – Report of survey results & summary of any proposal ideas submitted goes out

****Weds, June 16th 12 pm ET – Conference call ~ facilitated discussion of survey results, activities proposed
and reach agreement on decision-making process going forward in prep for June 30th conference call (1-1:15 hrs max!]***

--Sunday June 20, 3 pm ET Make-up call for folks who could not make Weds June 16th call .

****Weds June 30th 12 pm ET– Conference call ~ facilitated discussion & decisions taken for moving forward (if you can’t make this call & would like to weigh in on decisions, please contact me). [1-1:15 hrs max]****

--July 2 – MW sends out report of decisions taken

--July 15th All steps taken to implement new group practices – correct info on site, meeting schedules etc
